How to Prep Your Design Files for Commercial Printing: Step-by-Step Checklist & FAQ for Omaha Businesses

    7 min readBy Erina S.

Commercial print ordering has become one of the fastest ways for Omaha business owners to create high-impact marketing collateral, business cards, and event banners. However, professional commercial printing requires precise attention to detail in your design files. To make sure your finished prints match your vision exactly when they roll off our presses at HuskerPrint, you must ensure your artwork files are fully 'print-ready' before uploading.

    What Are Print-Ready Files?

Even when your visual design is finalized, your raw digital file may still require technical adjustments before going to press. Preparing print-ready files prevents common production issues such as blurry low-res graphics, font substitutions, shifted color palettes, and unwanted white margins. While specific products require unique templates (for example, business card printing vs. multi-page brochure printing), standard file setup rules apply across all commercial print runs.

    The 7-Step Pre-Press File Checklist

Before submitting your artwork files to HuskerPrint, open your file in Adobe Illustrator, Photoshop, or InDesign and run through these essential pre-flight verification questions:

    1. Are all images crisp and set to 300-350 DPI?

Images that look sharp on a computer screen (72 DPI) will look blurry or pixelated when printed on paper. Commercial presses require a minimum resolution of 300 DPI (dots per inch) at 100% of final print size. Never stretch small web graphics to fit large layouts.

    2. Have you verified spelling, phone numbers, and address details?

Automated press systems print exact upload files without altering text. Double-check all phone numbers, street addresses, email handles, pricing tables, and body copy for spelling or typographic errors before placing your order.

    3. Is your font size legible for all readers?

We recommend maintaining a minimum body copy font size of 8 pt for high readability. For fine print or disclaimers, do not drop below 6 pt. Test print your file on a desktop home printer at 100% scale to check physical font legibility.

    4. Are your graphic elements and logos properly aligned?

Off-center logos or uneven margins detract from professional presentation. Utilize alignment tools and smart guides in Adobe Creative Cloud or Canva to snap elements to precise center lines.

    5. Are your PDF layers flattened and text fonts converted to outlines?

Unflattened vector layers can shift or drop out during press RIP processing. If fonts are not embedded or converted to vector outlines (Ctrl/Cmd + Shift + O in Illustrator), system fonts may substitute automatically, altering your layout typography.

    6. Does your file orientation match your order selections?

Ensure horizontal (landscape) vs. vertical (portrait) design files match the exact orientation selected in your online quote order form.

    7. Do Front and Back pages align correctly?

For double-sided prints like postcards, greeting cards, brochures, or folded business cards, ensure both front and back files are positioned right-side-up so upside-down backs are avoided after trimming.

How to Flatten PDF Files for Print

To flatten layered artwork, use Adobe Photoshop or Adobe Acrobat Pro:

    • Photoshop Method: Open artwork -> Right-click layers panel -> Select 'Flatten Image' -> Save As PDF with CMYK color mode at 300 DPI.
    • Adobe Acrobat Pro Method: Open PDF -> Go to Tools -> Print Production -> Select Flattener Preview -> Check 'Convert All Text to Outlines' -> Click Apply.

Supported File Formats & CMYK Color Mode

HuskerPrint accepts PDF, JPG, PNG, TIF, TIFF, EPS, AI, PSD, and BMP files. High-resolution PDF or uncompressed TIF/JPG are strongly recommended. All artwork must be formatted in CMYK color mode. Submitting RGB files created for digital screens will cause subtle color shifts on paper.

Understanding Bleed, Trim, and Safety Lines

Commercial cutting blades slice thousands of sheets in stacks. Bleed and safety guidelines prevent unwanted white borders:

    • Bleed Line (Black / Outer): Extend background artwork 0.125'' past final size to ensure full edge-to-edge coverage.
    • Trim Line (Pink / Middle): The exact physical line where hydraulic cutters cut the paper.
    • Safety Line (Blue / Inner): Keep all essential text, logos, and critical photos inside this 0.125'' margin so nothing gets trimmed off during cutting shifts.
